📑 CALL & MEETING POLICY – LEX IMMIGRATION
This policy establishes the rules and conditions under which Lex Immigration manages calls, Zoom meetings and other forms of communication with clients and prospective clients. Its purpose is to ensure a professional, secure, confidential and organized service, while protecting the consultant’s time and safeguarding sensitive legal and immigration information.
1. Scope of the Policy
This policy applies to:

Zoom, Google Meet or other approved online meetings

Phone calls and WhatsApp calls
-
Paid consultations, assessments, case evaluations and follow‑up sessions
-
Initial legal orientation sessions and professional meetings
2. Scheduling and Punctuality

All meetings must be scheduled in advance and confirmed by Lex Immigration.

Clients must join the meeting on time at the agreed date and hour.

A 10‑minute grace period applies. After 10 minutes, the meeting will be considered concluded and marked as a no‑show.
3. No‑Show Policy (Client Absence)
If the client fails to attend the meeting:
❌ No refunds will be issued under any circumstances.
This applies to:

Paid consultations
-
Case evaluations
-
Strategy sessions
-
Follow‑up or progress meetings
Reason:
The reserved time slot is exclusively allocated to the client and cannot be reassigned on short notice.
✔ Rebooking option:
Clients may request one (1) reschedule, provided the request is made at least 24 hours in advance.
Requests sent with less than 24 hours’ notice do not qualify for rescheduling or refund.
4. Strict Prohibition of Recording
To protect confidentiality, privacy and professional ethics, it is STRICTLY FORBIDDEN for the client to:
❌ Record the meeting
❌ Record audio
❌ Capture video or screenshots
❌ Share, publish or forward any part of the meeting
❌ Upload or disclose the meeting on social media
No part of the session may be recorded without explicit, written and prior authorization from Lex Immigration.
📌 Violation of this clause may lead to immediate suspension of services and may result in legal action for breach of privacy, image rights, confidentiality and intellectual property.
5. Recordings by Lex Immigration
Lex Immigration does not record calls or meetings unless:

Required by law

Needed for service quality or documentation

Authorized in writing by the client
Clients will be notified if a recording is needed and may accept or decline.
6. Rescheduling Policy
Clients may request a new appointment only if:

The request is submitted 24 hours in advance, and
-
There is availability in the consultant’s schedule
Late requests (within 24 hours before the meeting) do not qualify for rescheduling or refund.
7. Payment Conditions

Meetings are confirmed only after full payment is received.

No “pay later” system is offered.

Payments for consultations are non‑refundable.

The consultation fee covers only the time and service agreed, not document review or full case representation unless expressly contracted.
8. Service Limitations During Calls/Meetings
During any call or meeting, Lex Immigration is not obligated to:

Deliver legal documents on the spot

Review full case files unless previously contracted
-
Provide binding legal opinions without a full case study
-
Perform immigration procedures without a signed professional agreement
Sessions are intended for guidance, analysis, and orientation, not full legal representation.
9. Confidentiality
All information shared by the client is protected under:

GDPR (General Data Protection Regulation)

LOPDGDD (Spanish Data Protection Law, if applicable)

Professional confidentiality and ethical duties

Lex Immigration’s Privacy Notice
The client also agrees to maintain the confidentiality of all advice and information provided during the meeting.
10. Changes to the Policy
Lex Immigration may update this policy at any time.
The updated version will be made available on the website or sent to the client upon request.
